Privacy Policy
Last updated 21 October 2026
This policy explains what personal information The Event Register collects, why, and what you can do about it. The Event Register is run by Roddy McGillivray, a sole trader ("we", "us"). We are the controller of your personal information under UK data protection law. You can contact us at theguestalbum@gmail.com.
What we collect
- Couples: your name and email address when you create an account, the details of your wedding (names, date, cover photo, and anything you add to your wedding website or order of the day), and a record of the plan you bought.
- Guest photos and messages: the photos, videos, voice messages and written messages guests share, and their name if they choose to add it. We don't ask guests to create an account.
- Payments: payments are handled by Stripe. We never see or store your full card details.
- Technical information: basic information your browser sends, such as your IP address and device type, which our hosting provider uses to keep the service running and secure.
- How you found us: if you arrive from one of our adverts or a tagged link, we note which one when you create your wedding, so we know which adverts work. This is stored with your account, not on your device.
Guest information for planning your wedding
If you use the planning features, you and your guests also give us information about your guests:
- guest names, how they're grouped into households, and any email address, phone number or postal address you add for sending invitations
- RSVP answers, such as whether each guest is coming and whether they're invited for the day or the evening, plus answers to any questions you ask and any note they leave you
- meal choices and dietary requirements, including allergies
- which table and seat each guest is given on your seating plan
Dietary requirements and allergies can be information about someone's health. We collect them only so you and your venue can cater safely for your guests, we show them only to you (the couple, and anyone you invite to manage your wedding with you), and we never use them for anything else. Guests choose whether to share them.
Why we use it
- To run your photo album and guestbook and let your guests share with you (to perform our contract with you).
- To run your wedding website, RSVPs, guest list, seating plan and invitations (to perform our contract with you). For dietary and allergy information, we rely on the guest's explicit consent when they choose to tell you.
- To send emails about your account and wedding, such as receipts and reminders before your album closes (to perform our contract with you).
- To send wedding tips and offers by email, unless you untick the box when you sign up (our legitimate interests). Every one of these emails has an unsubscribe link, and unsubscribing doesn't affect emails about your account.
- To keep the service secure and prevent misuse (our legitimate interests).
- To help improve our marketing, only if you agree to optional cookies (your consent).
We never sell your information, and we never use guests' photos, messages or details for advertising.
Cookies
We use cookies that are needed for the service to work: one keeps you signed in to your account, and one lets a guest's phone see and manage the uploads it sent. With your permission only, we may also use optional cookies on our website and for couples in the app that help us improve our marketing. You can say no, and they're never used on guests.
Who we share it with
We use trusted providers to run the service, who only process your information on our instructions:
- Cloudflare, for hosting, for storing photos, videos, messages and guest details, and for sending emails about your account and wedding.
- Clerk, for account sign-in.
- Stripe, for payments.
- Resend, for sending wedding tips and offers if you get them.
- Marketing partners, only if you agree to optional cookies.
Some of these providers may process information outside the UK. Where they do, they use legal safeguards approved under UK law.
How long we keep it
Your wedding is kept for your plan's storage period. On Free, that ends 7 days after uploads close. On Album it ends 1 year after your wedding date, and on Wedding 2 years after. When it ends, we delete your photos, videos and messages, and your guest list, RSVP answers, meal and dietary choices and seating plan. You can delete uploads and guests sooner yourself. We keep your account details while you have an account, and payment records for as long as the law requires for tax purposes.
Your rights
You can ask us for a copy of your information, ask us to correct or delete it, or object to how we use it. Guests can ask the couple, or us, to correct or remove their details. Email theguestalbum@gmail.com and we'll reply within one month. If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.
Changes
If we change this policy, we'll update the date at the top of this page.
